The Problem

Our client needed an automated way to assign leads in a fair, round-robin manner. However, they only had access to HubSpot’s Marketing Hub, which lacks the Sales Hub’s built-in round-robin tools. The challenge was finding an alternative solution to distribute leads evenly without upgrading their subscription.

The Solution

To implement a true round-robin assignment in HubSpot’s Marketing Hub:

Use Random Distribution Percentages:
    • HubSpot’s branching logic for workflows includes random percentage-based distribution. We tested this extensively with over 1,000 records and found that it achieved consistent, fair distribution among team members.
    Configure Workflow Branches:
    • Add multiple branches for lead distribution in the workflow. HubSpot automatically adjusts percentages as you add branches, ensuring an even split (e.g., 50%, 33%, 25%, etc.).
    Assign Contact Owners:
    • Follow the branching logic with the "Set Contact Owner" action to assign leads to specific HubSpot or Salesforce users. This ensures the assigned owner is updated in the record.
